North Central District Health Department is looking for someone to serve as an Executive Assistant to the Public Health Director - This position serves under the direction of the Public Health Director. The salary range for this position is $15.00 – $19.00 hourly with a 37.5 hour work week. This is a contract positon. Some of the responsibilities for this position include, but are not limited to;
Performing complex, professional level work to support the Public Health Director including extensive calendar management, organization and prioritization of documents and files, coordination of meetings, and preparation of all necessary meeting materials.
Plan, schedule and determine work priorities of director.
Coordinates, manages and maintains the Director’s outlook calendar, and effectively manage conflicting priorities.
Edit and create documents using PowerPoint, Excel & Word. Compose letters and documents as required. Reviews, proofreads and edits documents prepared for Director’s signature.
Assists with meeting preparation (documents, presentations, etc.) for Director/leadership team.
Must be able to precisely record, transcribe and dispense detailed minutes of Board of Health meetings as well as other meetings.
Maintains a filing system for agendas, minutes and hand-outs.
Makes travel, appointment, and meeting arrangements for Director.
Greets visitors and callers in a friendly and professional manner; screens incoming calls and visitors and routes appropriately.
Opens and Distributes incoming mail.
Provides technical assistance during conference calls, presentations, projections, audiovisual presentations, etc.
Assists the Director in planning and analyzing special problems and handle details, assists with special projects.
Direct all maintenance activities for the four health departments and grounds and the district office.
Technology related responsibilities: IT questions, IT troubleshooting, ordering/maintaining and inventory of desktop computers, laptops, IPads, cell phones, security cameras, etc. Will maintain phone and message system, issuing and inventory of agency related technology items i.e.: phones, cell phones, tablets, laptops, and computers.
Accurate & timely completion of routine daily, weekly, monthly tasks as assigned. May handle sensitive information with professionalism and integrity while communicating openly and often among team members.
May provide support to district lead staff as assigned by Director.
Other duties as assigned.
